Designing templates and communications

A company can add its own email and SMS templates to EngageOne® Communicate. These templates appear on the Company Templates tab. Users with the Campaign Creator role create a communication by selecting one of the email or SMS templates as a starting point.

Building a library of company templates

If you have the Designer or Developer role, you can build a library of company templates. You can:

  • Design new templates in Communicate by starting from one of the base templates provided with Communicate and then editing it in the Template Builder.
  • Add existing email templates from other sources by uploading the HTML files and their assets — you can edit the HTML in the Template Builder.
  • Save a template from an existing communication.
Note: Anyone can change the look and feel of a communication created from an email template by modifying the colors and fonts, or by editing the underlying HTML. For this reason, you can provide a design scheme containing recommended colors and fonts. See Using design schemes for details.

Storing images in the Asset Library

You can store all the assets for the company's email templates in the Asset Library. By default each template has its own folder under templates. When someone creates a communication from a template, the assets are copied to a separate folder under projects.

This means that:

  • You can modify or replace the assets for a template without disrupting current work on communications.
  • Users can upload alternative image assets without overwriting the assets used by the template.
You can organize the folders as you want. For example, storing images such as logos in a shared folder. When the communication is created, all images used by the template are copied to the folder for the communication regardless of where they are stored.
Note: Links in templates and unsent communications won't update automatically when you move or rename folders. For example, renaming a folder won't affect any email campaigns as they're already sent but links in the communication that will be used in future email campaigns will be affected. You will need to update the broken links.

Adobe Creative Cloud

You can sign into your Adobe Creative Cloud account in order to view the assets that you're storing in Creative Cloud. Creative Cloud assets are automatically copied to the Asset Library when you select them (you will be prompted to select the target folder).

Importing email templates

There are no limitations on the email templates that you can upload. However, image URLs must be for publicly-accessible servers otherwise the images will be missing when email recipients open their emails.
Note: Before uploading the HTML, check that the image URLs are valid. Invalid or inaccessible image URLs will be ignored rather than shown as missing.
Important: The differences across different email clients can be quite significant. Sending test emails is a good way to check the template in different email clients and at different screen sizes.

Attachments

You cannot add attachments to templates. Attachments are stored in the Asset Library and can be added as needed to email communications. See Attachments.
